Car Service Miami
Terms & conditions
These terms govern every reservation, unless we have agreed something different with you in writing before the trip. Read the cancellation, wait time and no-show sections before you book — they are where nearly every charge dispute starts.
If you cannot find your chauffeur, do not leave
Leaving the pickup point without reaching us is treated as a no-show and is charged in full. Call us first — a dispatcher will put you and your chauffeur in contact within minutes. This number is answered for trips in progress at any hour, including outside office hours.

This summary is for convenience only. The numbered sections below are the terms that apply to your booking.
Section 01Agreement and acceptance
In these terms, we and us mean Car Service Miami. You means the person who makes the reservation and is responsible for paying for it. Anyone travelling on the booking is a passenger, and you are responsible for your passengers' conduct.
Booking a trip — online, by phone, or by email — means you accept these terms on behalf of yourself and everyone travelling with you. The version of these terms in effect on the day you book is the version that applies to that trip.
Section 02Booking and confirmation
A reservation exists only once we have sent you a written confirmation containing a reservation number. A quote, a request form, or a conversation with a staff member is not a confirmed booking on its own.
Please check your confirmation as soon as it arrives. Pickup date, time, addresses, flight number, vehicle class and passenger count all need to be right, and the confirmation is what our dispatch team works from. Tell us straight away if anything is wrong.
For airport pickups, the flight number on your booking is what we monitor. If your flight changes — a different flight, a different airline, a diverted or cancelled leg — send us the new number as soon as you have it. We track the flight we were given, not the one you are on.
Section 03Payment and billing
Unless you have an approved corporate or invoice account with us, all charges are billed to the credit card on the reservation. We may place an authorization hold on that card before the trip to verify it; the hold is not a charge, and it is released by your bank if the trip does not go ahead.
Charges that cannot be known in advance — wait time, extra stops, cleaning, damage, or a change of service made during the ride — are billed to the same card after the trip is complete. We will send you a revised receipt showing what was added and why.
Questions about a charge
If a charge looks wrong, contact us before disputing it with your bank. Most billing questions are settled the same day. Filing a chargeback on a completed trip does not remove your obligation to pay for it, and we will respond to the dispute with the trip record, the chauffeur's log and these terms.
Section 04Cancellations
Cancellations are sometimes unavoidable and we do not make them difficult. What we cannot do is release a vehicle and chauffeur that were held for you at short notice, because the vehicle was taken off availability the moment you booked it.
Every vehicle class has a notice window. Cancel outside that window and you pay only the cancellation fee, with the balance refunded to the card used for the booking. Cancel inside the window — or fail to show — and the trip is non-refundable in full.
| Vehicle class | Cancel by | Fee if cancelled in time |
|---|---|---|
| Sedan | 24 hours before pickup | $20 |
| SUV | 24 hours before pickup | $25 |
| Sprinter van (regular) | 24 hours before pickup | $35 |
| Limo Sprinter, executive van, minibus | 7 days before pickup | $50 |
| Party bus | 7 days before pickup | $100 |
| Motor coach | 14 days before pickup | $100 |
| Any vehicle, international bookings | 72 hours before pickup | Class fee above |
Cancellation fees are non-refundable. Notice windows are counted back from the scheduled pickup time, so a 24-hour window on a 9:00 am Tuesday pickup closes at 9:00 am on Monday. A cancellation sent by email counts from the time it arrives in our inbox, not from the time we open it. A cancellation sent by email counts from the time it arrives in our inbox, not from the time we open it.
Inside the window, including no-shows, the trip is non-refundable. By that point the vehicle has been assigned, the chauffeur is scheduled or already en route, and the slot cannot be resold.
Some bookings carry different notice requirements because of the date, the event, the market or local conditions such as a named storm. Where that is the case, it is stated on your written confirmation and the confirmation takes precedence over the table above. Your confirmation for a charter, wedding, convention or multi-vehicle group booking may also set a deposit that is non-refundable from the day it is paid.
Section 05Changes to a booked trip
Small adjustments — a corrected flight number, an address a block away, an extra passenger the vehicle can carry — cost nothing and we are glad to make them. Tell us as early as you can.
A change to the pickup time, the vehicle class, or the route inside the cancellation window is treated as a cancellation and a new booking, because the original vehicle can no longer be reassigned.
At 9:30 am you ask to move a 10:30 am pickup to 1:00 pm. The 10:30 am trip is inside its 24-hour window, so it is charged in full, and the 1:00 pm trip is a new booking at the applicable rate.
We will always tell you what a change costs before we make it. If the answer is a second full charge, you will hear that from us first, not from your statement.
Section 06Types of service and how they are priced
Airport transfers
Priced as a flat rate between the airport and your address. The rate assumes one pickup and one drop-off with no waiting beyond the included grace period and no stops en route.
Point-to-point transfers
Available for local pickups and drop-offs within the greater Miami and Fort Lauderdale service area. Rates are calculated from time, distance and zone. Wait time beyond the 15-minute grace period, extra stops, or indirect routing are charged in addition, and a trip that accumulates enough of them converts to the hourly rate.
Hourly and as-directed service
Charged at an hourly rate with a minimum number of hours set by the vehicle class. Three hours is the usual minimum; larger vehicles and peak dates may require more, and the minimum that applies to your trip is stated on your quote and confirmation. Hourly service allows unlimited stops and waiting at your direction, and the vehicle stays with you or at your stop for the whole booking, as far as parking allows. Hourly time is billed from the moment the vehicle leaves our garage until it returns.
Outside our service area
Trips beyond our normal operating area may carry a mileage charge in addition to the hourly rate. We quote it before you book.
Section 07Airport pickups
Curbside pickup is our standard for every vehicle class. Once you have your bags, call your chauffeur directly on the number in your trip details, or call our office, and the vehicle will meet you at the curb outside baggage claim. Your chauffeur is already on airport property and waiting for that call.
Meet & greet — optional, additional charge
If you would rather be met inside the terminal, ask for meet & greet when you book. Your chauffeur or a greeter waits for you with a name board — at the bottom of the escalators by baggage claim for domestic arrivals, or immediately outside customs for international arrivals — and helps you with your bags to the vehicle.
| Meet & greet | Charge |
|---|---|
| Single arrival at MIA or FLL | $90 flat |
| Extended coverage — several flights, a delayed or split party | $45 per hour, 2-hour minimum |
Rates at other airports vary and are quoted when you book. Meet & greet must be arranged in advance; it cannot be added once your flight has landed.
Section 08Wait time
Every trip includes free wait time. How much depends on where we are collecting you.
| Pickup type | Free wait time | Counted from |
|---|---|---|
| Domestic flight or train arrival | 45 minutes | Actual landing or arrival time |
| International flight arrival | 60 minutes | Actual landing time |
| Airport departure, hotel, residence, any other address | 15 minutes | Scheduled pickup time |
Because we track your flight, a delayed arrival does not cost you anything — the clock starts when the aircraft actually lands, not when you were originally due.
After the free period, waiting is charged in 15-minute increments at that vehicle's prevailing hourly rate. Once waiting passes 30 minutes beyond the free period, the trip converts to hourly pricing at that vehicle's minimum.
Section 09Extra stops and changes made in the car
Additional charges apply to anything that departs from the service you booked: extra terminal stops, stops en route, indirect routing, waiting time, and off-hour or holiday surcharges.
If a transfer becomes an as-directed trip once you are in the vehicle — you add stops, you ask the chauffeur to wait, or you need to return to the pickup or drop-off point for something left behind — the trip converts to that vehicle's hourly rate from the point the change is made, subject to that vehicle's hourly minimum.
Your chauffeur will tell you what a change costs before acting on it. If you would rather not proceed, nothing changes and the original trip is completed as booked.
Section 10No-shows
A no-show is recorded when the free wait time has expired, the chauffeur is at the agreed pickup point, and we have not been able to reach you. It is the most expensive and most avoidable charge on this page, and one phone call prevents it.
| Service | No-show charge |
|---|---|
| Airport and point-to-point transfers | The full fare, plus any wait time accrued |
| Hourly service | That vehicle's hourly minimum |
The full fare already includes the 10% gratuity described in section 11, so a no-show charge matches the price you were quoted. Nothing further is added.
Before you give up on finding the car
Call us. Dispatch can see where your chauffeur is standing and will walk you to each other. This line is answered for trips in progress at any hour, including outside office hours.
Section 11Gratuity
A 10% gratuity is already included in the price you are quoted and is paid in full to your chauffeur. You do not need to add anything at the end of the trip, and your chauffeur will not ask you to.
If the service was exceptional and you would like to give more, you are welcome to — in cash to the chauffeur, or by telling us the amount to add to your card. It is entirely optional and entirely your decision.
Corporate agreements may handle gratuity differently. Where they do, the agreement governs.
Section 12Additional charges
Most of what people expect to be extra is not. Tolls, parking and airport access fees are included in your quoted price, and we do not add an administrative or service fee on top of the fare.
These are the charges that can be added:
| Charge | When it applies |
|---|---|
| $20 – $30 | Off-hour surcharge on the base fare, for pickups between 11:59 pm and 4:59 am |
| Quoted individually | Holidays and peak dates — New Year's, Thanksgiving, Christmas, major events and peak travel dates. Priced before you book, never added afterwards |
| Hourly rate | Wait time beyond the free period in section 8 |
| Per stop | Extra stops and changes made during the ride, section 9 |
| $90 or $45/hr | Meet & greet, if you request it, section 7 |
| See schedule | Cleaning and damage, section 16, if it applies |
| Quoted in advance | Mileage on trips outside our service area, section 6 |
Anything else you ask us to arrange — a child seat, a specific amenity, an on-site coordinator — is quoted before we book it. Nothing appears on your card that you have not seen first.
Section 13Vehicles, capacity and luggage
Please book by passenger count and luggage count. Seat capacity and luggage capacity are different numbers, and a vehicle that seats your party comfortably may not carry its bags. Luggage is not permitted on the seats of any vehicle.
If the party or the luggage arriving exceeds what the booked vehicle can safely and legally carry, we will do everything we can to send a second or larger vehicle, charged at the applicable rate. Where that is not possible at short notice, the chauffeur will carry what fits.
We reserve the right to substitute a vehicle of equal or greater capacity and class — mechanical faults and traffic incidents happen, and a substitution is how a trip still runs. A specific make, model, year or color is never guaranteed unless your written confirmation says so.
Section 14Children and safety seats
Tell us at the time of booking the age of every child travelling and whether you need a rear-facing seat, a forward-facing seat or a booster. We supply and install them, but only when they are requested in advance — a chauffeur cannot produce one at the curb.
If you are bringing your own seat, the chauffeur will help you install it, but the fitting and the securing of your child in it remain your responsibility. Children are never permitted to travel on an adult's lap.
Section 15Passenger conduct
We ask everyone travelling with us to behave in an orderly manner and to let the chauffeur do their job. The chauffeur is responsible for the safety of the vehicle and everyone in it, and their decisions about the route, the road and the conditions are final.
We may refuse to carry, or may stop the trip and require passengers to leave the vehicle, where:
- a passenger is excessively intoxicated, or is under the influence of or in possession of illegal drugs
- anyone is carrying a firearm or any dangerous substance
- narcotics or illegal drugs are being consumed or sold in the vehicle
- a passenger interferes with the chauffeur, or tampers with any equipment in the vehicle
- the chauffeur feels threatened, or conduct is likely to become objectionable to others
- anyone under 21 is consuming or in possession of alcohol
If a trip is terminated for any of these reasons, no part of the fare is refunded and no further service is provided under that booking.
Section 16Cleaning, damage and smoking
Smoking of any kind — cigarettes, cigars, vaping, cannabis — is prohibited in all our vehicles.
You are responsible for damage caused by you or your passengers to the interior, the equipment, or the exterior of the vehicle. That includes gum, spilled food, wine and spirits, sickness, broken glassware and decanters, and damage to lighting, screens or audio equipment. Damage is charged at cost, with the minimums below.
| Situation | Minimum charge |
|---|---|
| Smoking in the vehicle | $250 |
| Excess cleaning — spills, excessive trash, staining | $250 |
| Repair or replacement of any interior fitting or equipment | $100 |
| Sickness inside the vehicle | $500 |
These are minimums, not caps. Where actual cleaning, repair or lost-service costs exceed them, the actual cost is charged. We will send photographs and the repair or cleaning invoice with any charge of this kind.
Section 17Arrival times and conditions beyond our control
Our chauffeurs build in time to arrive early, and dispatch watches traffic and flight data throughout the day. Even so, road closures, accidents, weather and airport conditions are outside anyone's reasonable control.
We cannot refund a fare because of a late arrival caused by conditions of that kind, and we are not liable for a missed flight, missed connection, missed sailing or missed event that results from them. Please build a sensible margin into your pickup time for flights and cruise departures; if you are not sure what that margin should be, call us and we will advise from experience of that route at that hour.
Where a named storm, an airport closure, a government order or a similar event makes service impossible, we will contact you and either reschedule the trip or refund it, at your choice.
Section 18Luggage and lost property
We cannot accept responsibility for the handling or condition of luggage or other property, or for anything left behind in a vehicle. Please check the vehicle thoroughly for personal belongings before you leave it.
If something is left behind, call us as soon as you notice. We will search the vehicle, hold what we find securely, and arrange for you to collect it or have it couriered at cost.
Section 19Mobility, accessibility and animals
Our vehicles are not wheelchair accessible. No vehicle in our fleet has a ramp or a lift, and we cannot carry a non-folding wheelchair or a powered chair.
A folding wheelchair, walker or cane can be carried as luggage if you tell us in advance, so we can assign a vehicle with room for it. Every passenger must be able to board the vehicle and transfer to a standard seat, either unaided or with help from someone travelling with them. Our chauffeurs are not trained or insured to lift or physically transfer passengers.
If any passenger needs a wheelchair-accessible vehicle, tell us when you enquire and we will point you to a local operator who runs one, rather than take a booking we cannot serve properly.
Service animals are welcome in every vehicle at no charge. Pets are welcome in a carrier — please tell us in advance so we can assign a vehicle with the space for it.
Section 20Overnight and out-of-area travel
Where a booking requires a chauffeur, on-site coordinator or other dedicated staff to stay overnight, you arrange and pay for their lodging and meals. A per diem may apply in addition to lodging. We will set all of this out in the quote before you commit to the trip.
Section 21How to reach us, and how we reach you
Office hours are 6:00 am to 6:00 pm, seven days a week. Phone (305) 676-2626, email info@carservicemiami.com.
New reservations, changes and cancellations are handled by phone during office hours, and by email at any time. An email sent outside office hours is timestamped when it arrives and is answered when the office opens.
Send anything time-sensitive to info@carservicemiami.com, not to an individual staff member. Individual inboxes are only monitored during that person's working hours. A cancellation sitting unread in someone's inbox while they are off shift is still a late cancellation.
If a request needs attention within the next eight hours, call us. Email is not the way to make a same-day change.
Every new, changed or cancelled reservation produces a written confirmation. If you do not receive one, assume the request did not reach us and call. We cannot honour a cancellation or change we have no record of.
Trips in progress
If you are at the curb and cannot find your chauffeur, call (305) 676-2626 at any hour, including outside office hours. That line reaches dispatch for trips that are running.
Messages from us
We use the phone number and email on your booking to send confirmations, chauffeur details and trip updates, including text messages on the day of travel. These are service messages about your trip, not marketing. Marketing emails, if you have opted into them, can be unsubscribed at any time without affecting your bookings.
Section 22Limitation of liability
We provide our service with the care and skill you would expect from a licensed, insured and airport-permitted operator, and we carry the insurance our licences require.
To the extent the law allows, our liability arising out of a booking is limited to the amount paid for that booking, and we are not liable for indirect or consequential losses — missed flights, missed connections, lost business, cancelled accommodation or event tickets — arising from delay or from conditions of the kind described in section 17.
Nothing in these terms limits any liability that cannot lawfully be limited, including liability for death or personal injury caused by negligence.
Section 23Governing law
These terms are governed by the laws of the State of Florida. Any dispute arising from them or from a booking will be brought in the state or federal courts located in Miami-Dade County, Florida.
If any part of these terms is found unenforceable, the rest continues to apply. These terms, together with your written confirmation, are the entire agreement between us about your trip.
Section 24Changes to these terms
Rates, charges and terms change from time to time. Any change applies to bookings made after the new effective date shown at the top of this page. The version in force when you booked continues to govern the trip you have already reserved.
Before you book
Ask us first
If something here does not fit your trip, like an unusual schedule, a large group, a corporate account, a cancellation policy you need in writing, please ask before you reserve. We would rather agree it in advance than argue about it afterwards. Office hours 6:00 am to 6:00 pm, seven days a week.
